Trays & inventory

Add, find, move, and check in the trays you carry.

Add a tray

  1. 1Open your inventory — the "Inventory" tile on the dashboard — and tap "Add your first tray" (or "Add another tray" from any tray page).
  2. 2Pick the category: "Loaner" (case-driven, ships in and out) or "Consignment" (long-term assigned).
  3. 3For a consignment tray, say where it is: "In your storage", "At a hospital" (choose which), "Loaned out to another rep" (name the rep), or "Damaged · out of service".
  4. 4Enter the "Tray name" (required). "Tray number (optional)" is any identifier you use — it's informational only.
  5. 5Set "Number of levels" (1–10) — how many stacked trays/pans the set has. Each level gets its own photo slot in Capture.
  6. 6Tap "Add to inventory".
  • The tray number never drives search or tracking — Dash finds trays by name and hospital.

Find a tray (browse, search, filter)

  1. 1Open your inventory from the dashboard's "Inventory" tile. Filter with the chips at the top: "All", "Loaners", "Consignment", or "Storage" (everything not at a hospital).
  2. 2Use "Group by" to switch between "Hospital" (a section per site you tap to open) and "A–Z" (every tray in one list, alphabetical).
  3. 3Type in the search bar at the top to match tray names or hospital names.
  • Same-name trays at the same location collapse into one "Qty N" row.
  • Tap "Manage" in the header for "Edit trays" (remove trays), "Reclassify trays" (switch loaner ↔ consignment), and "Tray history".

See every tray move (history)

  1. 1Open your inventory, tap "Manage" in the header, then "Tray history".
  2. 2Every move, capture, and check-in is listed newest first — with who did it and when.
  • History can't be edited — a wrong move is corrected by making the correct move, and both stay on the record.

Trays marked "Unsterile"

Sterile means wrapped — the hospital's sterile processing department has run the tray and sealed it, ready for a case. Unsterile means it isn't wrapped. Because trays leave the hospital unwrapped, everything in your storage is unsterile, so Dash only asks the question for trays at a hospital.

  1. 1Finishing a case is the ONLY thing that marks trays Unsterile — the ones you ticked off. Nothing else does it: moving a tray, editing it, or adding a new one never changes its sterility.
  2. 2Spot them on a hospital's page, where trays split into two columns: Unsterile on the left, Sterile on the right.
  3. 3Capture the tray once it's been reprocessed and rebuilt — photograph its levels. It's your record of what was actually in the set, so it's worth doing.
  4. 4Then tap "Mark sterile" on the row, or tick several and mark them together. If you haven't photographed it, Dash asks once and then takes your word for it — a missing photo never stops you.
  5. 5Tapped the wrong one? "Undo" appears where the button was.
  • It's a reminder, never a block — an unsterile tray still moves, still logs to a surgery, and still counts in your forecast.
  • Trays in storage show no sterility marker — sterile means wrapped by a hospital, so the question only has two possible answers while a tray is at one.
  • Only you mark a tray sterile. Dash never does it for you, because only you can see whether the tray in front of you is wrapped.
  • A case row names a tray type, so if you own several of the same set, Dash marks its best guess at the one you used. Tap the badge on the completed case screen to correct it.

Move one tray

  1. 1Open the tray from your inventory.
  2. 2Scroll to "Location", pick the destination under "Current location" (Storage or a hospital), and tap "Update location".
  • Every move is written to the tray's movement log automatically — who, what, when, where.
  • A consignment tray marked "Damaged · out of service" won't move to a hospital — restore it from the tray's "Edit" screen first. Returning it to storage is always allowed.

Move many trays at once

  1. 1Tap "Move trays" on the dashboard (or on the Trays screen) — Quick Move opens with every tray in one checkbox list.
  2. 2Set "From" (Where now?) to narrow the list to one place, or leave it to see everything.
  3. 3Search at the top to narrow further — tray name or hospital both work. The search stays put while you scroll.
  4. 4Check the trays to move ("Select all" picks the ones the search is showing), set "To" (Where to?), and tap "Move".
  • Trays stay checked when you change or clear the search, so you can search, check a few, search again, then move them all at once. The count tells you if any of your checked trays are currently hidden by the search.

Check trays in to a hospital (with photos)

The check-in wizard moves trays and optionally photographs each one before drop-off.

  1. 1From the schedule, tap "Log a tray to surgery" — it opens the "Check in trays" flow (dashcheck.app/move).
  2. 2Step 1 — "Where are these going?": pick a hospital or "Storage".
  3. 3Step 2 — "Which trays?": check one or more trays.
  4. 4Step 3 — "Capture each tray": photos are optional. Tap "Capture tray" to photograph level by level, use "Or take one quick condition photo", or skip photos entirely.
  5. 5Tap "Check in N trays".
  • Photos here become the tray's condition record — useful if a tray comes back damaged.
  • If some trays fail, the wizard tells you exactly how many made it and keeps the rest selected so you can tap "Check in" to retry just those.

Log a tray to surgery

The richest check-in — records the surgeon and dates along with the move.

  1. 1Open the tray and tap "Log to surgery".
  2. 2Set the "Surgery date" and "Drop-off date" (drop-off can't be after the surgery).
  3. 3Pick the surgeon and hospital, then tap "Log to surgery".

Edit or remove a tray

  1. 1To edit: open the tray and tap "Edit" — name, tag, category, status, and levels.
  2. 2To remove: open "Trays", tap "Manage" then "Edit trays". Search at the top to find them, check the trays to remove, tap "Delete", and confirm.
  • Deleting is recoverable on our side and the tray's movement history is preserved — email support if you removed something by mistake.
